Out of curiosity, have you ever checked out your own application system? After looking at several websites of school districts in the area, I found three ways to apply as a sub: first, an online application process; second, a paper application that must be printed and handed in to the district offices; and third, the person must visit district offices. (Some districts had absolutely no information for potential substitutes at all. This should be remedied immediately if you are experiencing a sub shortage).
Let us talk about the latter two options. While I personally think it is fantastic to meet potential subs face to face during the application process, (and Quest Account Managers do exactly that), having them print out an application or even begin the application process in-person, with no way to track potential substitutes, is just not going to attract as many applicants.
We use an online applicant tracking system that tracks our applicants from the first step in the application process to a fully-hired Quest employee. This enables us to see who has turned in all necessary forms, had a background check completed, and is ready for training, etc. We will also reach out to potential substitutes who have been stalled in the application stages and ask if they need help. Quest’s Human Resource Managers actively seek out and recruit substitutes both inside this tracking system (making sure a potential substitute has assistance every single step of the way) and outside in the world. Quest Account Managers aim to retain employees, as well.
From the time a potential substitute clicks “Apply Now” on our site to the time they are able to substitute in the classroom varies, but we can usually process them within about seven days, sometimes less (depending on the background check). We offer training and orientation several times per week, as opposed to most districts who hire substitutes once per month.
A side note I would like to add is that I looked into some applications on third party sites and the application would not allow me past step one due to technical errors on the site. You may want to check out your online application if you are using a third party vendor.
